Position Summary
Summer Guest Housing Staff (SGHS) student workers are part of the University Residences (UR) Facilities team. SGHS generally provide the following:
- Focus on completing daily responsibilities, serving summer guest needs, and preparing materials for conference group arrivals.
- Provide positive customer service through direct communication with guests, respond to guest needs over the phone or in-person, and emphasize interpersonal communication.
- Offer a high degree of flexibility as conference group or guest needs, tasks and responsibilities vary.
- Provide tasks that support Summer and Fall readiness.

Responsibilities
As directed by UR Facilities Program Coordinator, primary tasks include the following:
- Provide positive customer service through direct communication with guests, responding to needs over the phone, or in person.
- Provide housing check-in & check-out actions for guests and provide appropriate information to guests with excellent customer service.
- Provide guest lockout support as appropriate.
- Utilize UR’s online conference management software to view conference detail/room assignments and update assignments based upon paper roster changes/other inputs.
- Reference information about all conference groups or guests, provide accurate answers, and provide timely / appropriate information to guests using customer service framework.
- Process building access credentials for arriving guests if needed.
- Provide guests with information regarding campus and the surrounding areas.
- Create a welcoming environment through friendly, knowledgeable, and respectful interactions.
- Ensure guest space readiness by preparing paperwork and performing room/building inspections.
- Complete tasks with a physical component of lifting & carrying, such as delivering guest items to various buildings on campus, setting up directional sandwich boards, and transporting inventory to and from storage areas.
- Utilize UR’s online conference management software to view and update room assignments.
- Audit guest information and materials regularly to ensure accuracy and completeness.
- Participate in a rotating on-call system serving as the initial problem solver to diagnose and address needs that arise during the period between designated guest services desks closing and UR Facilities daytime support commencing in accordance with UR’s Summer Guest Housing (SGH) On-Call Protocols.
- Perform nightly interior visual checks at active conference group buildings per established schedule ensuring that buildings are safe (life safety systems in proper order, guests are abiding by UR Community Standards), secure (exterior doors & ground level public area windows are in proper order), and urgent maintenance issues are dealt with as appropriate. If required, escalates issues requiring higher-level action per established protocol.
- Maintain daily shift logs to accurately document and track problem-solving actions taken during the on-call support period in accordance with established protocols.
- Submit maintenance requests for all issues as needed.
- Create and maintain signs and bulletin boards for UR buildings as directed.
- Support UR Asset Team with furniture inventory and condition assessment actions.
- Support UR Resident Checkout Program (RCP) projects as directed.
- Augment UR Warehouse Team as needed to support furniture projects.
- May work with UR Facilities Associate Director on assigned Special Projects that provide operational, business, and career enhancing experiences if opportunities are available.
- Support UR efforts regarding preparedness actions for Fall opening.
- Conduct room readiness inspections checks.
- Collaborate with UR Move-In Hospitality Support Assistant (HSA) staff during move-in week and provide guidance as needed.
- Perform other UR Facilities assigned tasks to ensure buildings are ready for the academic year.
- Perform collateral work with other UR teams as necessary.
- Document accurate and timely submission of time sheets and payroll logs.
- Maintain daily shift logs to ensure seamless communication between staff.
- Deliver timely communication and follow-up with peers, guests, and supervisors.
- Engage in professional interactions with diverse guests, peers and WWU staff that are culturally aware and inclusive of all identities.
Required Qualifications
- Must be enrolled at least half time and be a fully matriculated student with a minimum six (6) credit hours for undergraduate / post baccalaureate or a minimum four (4) credit hours for graduate.
- Good standing in conduct and payment status along with any current WWU employment position.
- Must have lived within UR housing for a minimum of one (1) year.
- Be available to move into their summer housing assignment on June 14, 2026.
- Attend all mandatory training.
- Experience working with teams and groups.
- Experience with customer service.
- Adaptable and flexible in response to frequent requests or changing needs.
- Clear and effective communicator.
- Demonstrated ability to work in a diverse environment.
- Enjoy working in a fast-paced environment.
- Ability to lift or carry up to 50 lbs. and bend, kneel, squat, sit or stand for long periods, with or without reasonable accommodation.

Conditions of Employment
- CORE work period is from June 15, 2026 through August 7, 2026.
- ADDITIVE opportunities also may exist to work on the following requirements as directed by UR Facilities based upon operational needs and other circumstances.
- Participate in onboarding / training development sessions and provide administrative support during Spring 2026 before the summer guest housing season starts.
- Provide support related to Fall 2026 Move-In preparedness along with UR Facilities actions from August 8, 2026 through September 21, 2026.
- NOTE: UR Facilities will work with SGHS to determine which members have been selected for additive duties by July 14, 2026.
- Living on campus during the summer is strongly preferred; however, it is not required. Housing accommodations are available for the summer at a discounted rate. Compensation does not include housing. SGHS must adhere to the Housing Agreement and UR Policies & Procedures.
- If employees reside off campus during the summer, they must be available to stay on campus when they are scheduled for on-call shifts (room to be arranged and provided by Housing).
- Work twenty-five to thirty-five (25-35) hours per week. Provide evening, weekend, and holiday support as operational requirements dictate.
- Hours worked will be reported in the Banner system.
- Staff members will need to submit time-off requests to their designated supervisor five (5) business days in advance to ensure that adjustments to the schedule are made to minimize impact to operations. Personal leave time is unpaid.
- SGHS is unable to hold another WWU paid position during the work period(s).
- Typical day shift hours worked are weekdays from 7:00am to 4:00pm.
- After hours on-call shifts are processed accordingly.
- Active Working Hours: 9:00pm to 1:00am paid in full per specified hourly compensation wage.
- During this period, work requirements will involve building monitor checks and other duties as assigned.
- Inactive Working Hours: 1:00am to 7:00am. SGHS will be in on-call status available to respond to requests as needed. Employees will only be compensated for actual time worked in 15-minute increments per specified hourly compensation wage. Any activity during the on-call period must be tracked using the UR Facilities on-call log and recorded on the employee’s timesheet as regular time worked.
- Build working relationships with other staff members through positive and constructive communication.
- Summer staff may not be enrolled on any summer credits.
- Refrain from any curricular or extra-curricular activities that may require significant time commitments. Must obtain supervisory approval for outside commitments that may interfere with job duties.
- Fulfill position requirements.
- Conduct violations and/or performance evaluation(s) may result in termination.
- Students must also fulfill all other requirements outlined by Western for employment.

About Us
University Residences will host 1,500 to 3,000 camp and conference guests in our residence halls during the summer. Guests can range from toddlers to 90 years of age and will arrive from all over the world. Guests come to for a variety of reasons, including WWU first-year student orientation, youth sports camps, adult national international conferences, and training workshops. Our select staff work to accommodate guest needs and requests while providing a high level of customer service.
