Western Welcome Team Leader

Position Summary

This fall during move-in, WWU will welcome over 4,000 new on-campus residents. Western Welcome Team Leaders are paid student positions working to administer the move-in plan in their assigned area, lead and train Western Welcome Team volunteers, and monitor the overall flow of people, cars and items in their assigned campus area. Western Welcome Team Leaders work closely with Western Welcome Team volunteers whose primary goal is to direct traffic, unload vehicles, and assist with moving belongings to student rooms. 

Primary Responsibilities

Learning/Training: Study move-in plans and University Residences move-in policies and procedures to perform duties effectively.

  • Learn move-in plans, traffic flows and procedures for assigned campus area.
  • Learn the different Western Welcome Team duties and how they work together in the assigned campus area.
  • Learn what move-in materials are needed in your assigned campus region to execute move-in plans effectively.
  • Learn teambuilding strategies and training tactics to be an effective leader of Western Welcome Team volunteers.

 

Administrative: Facilitate Western Welcome Team training and be responsible for a small team of Western Welcome Team assigned to your campus area.

  • Set up/breakdown Western Welcome Team training sessions
  • Distribute training materials to Western Welcome Team during training.
  • Take Western Welcome Team volunteers' attendance during training and shifts.
  • Collect car tags from Western Welcome Team at the end of each shift.
  • Turn in Western Welcome Team volunteers' attendance sheets and car tags at the end of each training or shift.

 

Communication: Communicate complex move-in plans for traffic, people and items that will be implemented during move-in weekend to Western Welcome Team during Western Welcome Team training.

  • Communicate directions to incoming cars to ensure smooth traffic flow.
  • Interact with new students, parents, and other family members in a positive, welcoming way.
  • Communicate information to other Western Welcome Team Leaders via radio.
  • Promptly report any problems to a supervisor as they arise.
  • Provide a clear report of the day’s events to a supervisor at the end of each day.
  • Direct new residents and their families around the building(s) in your area and to common landmarks around campus.
  • During move-in weekend, give constructive feedback to Western Welcome Team members.

 

Leadership: Teach move-in plans to Western Welcome Team during Western Welcome Team training and lead Western Welcome Team as they complete their work during move-in weekend.

  • During Western Welcome Team training, facilitate teambuilding exercises with Western Welcome Team assigned to your campus area to promote a positive team environment during move-in weekend.
  • Train small groups of Western Welcome Team about each specific Western Welcome Team role during individual team breakout sessions during Western Welcome Team training.
  • Explain move-in plans, traffic flows and procedures to small group of Western Welcome Team assigned to your area.
  • Identify places or people in your campus area that require extra assistance and redirect/reorganize Western Welcome Team in your area as necessary.

 

Coordination: Monitor move-in processes during early move-in and move-in weekend and redirect Western Welcome Team, supplies and materials as necessary to ensure move-in plans are executed in the most efficient way possible.

  • Monitor small groups of Western Welcome Team during move-in to make sure move-in plans are executed effectively.
  • Direct move-in traffic and collect car tags.
  • Monitor wait times for arriving cars and implement measures to improve the flow of traffic throughout the day.
  • Monitor the unloading of cars in assigned campus area and ensure students’ items are delivered to the correct room.
  • Maintain residential trash and recycling depots.

 

Supply Management: Transport and organize Western Welcome Team training supplies and move-in supplies for your assigned campus area.

  • Inventory and prepare move-in materials in preparation for move-in weekend.
  • Pack and unload materials from vehicles during training and move-in weekend.
  • Distribute materials to Western Welcome Team at the beginning of each shift.
  • Collect supplies distributed to Western Welcome Team at the end of each shift
  • Maintain supplies at assigned campus region and refill as necessary at the end of each shift.

 

COVID-19 Additional Information: Safety measures 

  • Western Welcome Team Leaders are expected to abide by and follow all COVID-19 protocols and procedures from University Residences and the University.

Required Qualifications

 

  • Returning student enrolled at WWU for Fall 2023.
  • Not be on disciplinary probation or in deferred-eviction/eviction status with University Residences.
  • Not be on performance probation if employed elsewhere on campus.
  • Be willing to meet work hour requirements for the duration of employment.

Desirable Attributes & Skillsets

  • Experience working collaboratively on a team or in groups.
  • Ability to adapt and be flexible to frequent requests or changing needs.
  • Ability to communicate clearly and effectively with a diverse range of people.
  • Ability to work in a fast-paced environment.
  • Experience with completing tasks that require a high level of attention to detail.
  • Ability to work independently as well as in small teams, self-organize, and manage time effectively.
  • High familiarity with WWU departments/offices, resources and buildings around campus.
  • Ability to grasp and apply new concepts quickly and efficiently.
  • Experience providing peer-to-peer education or direction.
  • Experience with professional customer service or related service.

Work Environment

  • Will be standing or walking around assigned area for 6-8 hours.
  • Ability to lift and move supplies up to 30 pounds.
  • Will work outdoors in rain or shine.
  • Must be able to perform tasks in work environment with or without accommodation.

Work Schedule and Hours

  • Work approximately 60 total hours, including evenings and weekends.
  • Fulfill position requirements as described in this job description, position expectations and as assigned.
  • Anticipated employment dates: September 13-24, 2023.
  • Expected Schedule:
    • 9/13-9/15: Training and move-in preparation (12pm-6pm)
    • 9/16: Day off
    • 9/17: Early Arrival move-in (8am-4pm)
    • 9/18: Move in training and preparation, Western Welcome Team arrival (12pm-5pm)
    • 9/19-9/20: Western Welcome Team training (12pm-5pm)
    • 9/21-9/24: Move-in (8am-5pm)
    • 9/24: Pack up supplies and final debrief
  • Please note: Scheduled times are approximate for planning purposes only. Final schedule will be sent in September to selected candidates.

Compensation

  • Earn a pay rate of $16.74/hour
  • For residence hall residents: move in early at no additional charge
  • Meals provided during Western Welcome Team training and move-in weekend

About Us

University Residences will host over 8,000 camp and conference guests in our buildings during the summer. They will range from 0 to 90 years of age and will arrive from all over the world. They come to Western to attend regional, national, and international conferences and training workshops, as well as youth academic and sport camps. In order to best serve these guests, we hire students to serve as Conference Service Assistants, Desk Managers and Conference Housing Assistant Coordinators. These positions work to accommodate guest needs and requests while providing a high level of customer service. Under the direct supervision of the Manager of Guest & Housing Operations, summer student staff are expected to provide a housing experience that is safe and secure while maximizing the living and learning experience for all individuals.
