Move-in Hospitality Support Assistant

Position Summary

During Fall 2025 Move-In week, WWU will welcome over 4,000 new on-campus residents. Hospitality Support Assistant (HSA) staff are paid student positions that report to University Residences (UR) on Western’s campus to facilitate move-in activities into on-campus residential communities. HSA staff work to administer the move-in plan in their assigned area monitoring the overall flow of people, cars and items and ensuring that vehicular flow to unloading zone parking spaces is smoothly done supporting efficient transportation of belongings to student rooms. HSA staff also provide other hospitality focused support actions as directed. 

We are seeking candidates who are interested in supporting this effort. Requirements include attending HSA initial training on September 16 (Tuesday), Western Welcome Team training on September 17 (Wednesday), then performing related duties for three full days (8am-5pm) during Move-In Week, which will take place September 18 (Thursday) through September 20 (Saturday). Availability during all three (3) Move-In days is required. NOTE: The final schedule will be sent to selected candidates in early September 2025.

Responsibilities

Lasting no more than five (5) days total from Sept 16-20, 2025, HSA staff are responsible for assisting in the management of parking areas throughout the move-in process.

  • Learn move-in plans, traffic flows, and procedures for assigned campus area.
  • Learn other hospitality focused activities such as Residence Hall Reuse Program (RHRP) and  
    other designated events. 
  • Communicate directions to incoming cars to ensure smooth traffic flow.
  • Interact with new students, parents, and other family members in a positive, welcoming way.
  • Communicate information to other HSA staff and move-in support personnel via radio.
  • Promptly report any problems to a supervisor as they arise.
  • Direct new residents and their families around the building(s) in your area and to common 
    landmarks around campus.
  • Explain move-in plans, traffic flows and procedures as needed.
  • Identify places or people in your campus area that require extra assistance.
  • Direct move-in traffic.
  • Monitor wait times for arriving cars and implement measures to improve the flow of traffic 
    throughout the day.
  • Provide RHRP customer service / items issuance support as directed.

Required Qualifications

  • Returning student enrolled at WWU for Fall 2025.
  • Not be on disciplinary probation or in deferred-eviction / eviction status with UR.
  • Not be on performance probation if employed elsewhere on campus.
  • Campus residents: must be available to move in on September 14 (Sunday).
  • Must be available for work September 16-20 (no exceptions).
  • Must be available to work all shifts as assigned (no exceptions).

Desirable Attributes

  • Experience working collaboratively on a team or in groups.
  • Ability to adapt and be flexible to frequent requests or changing needs.
  • Ability to communicate clearly and effectively with a diverse range of people.
  • Ability to work in a fast-paced environment.
  • Experience with completing tasks that require a high level of attention to detail.
  • Ability to work independently as well as in small teams, self-organize, and manage time effectively.
  • Familiarity with WWU departments / offices, resources and buildings around campus.
  • Ability to grasp and apply new concepts quickly and efficiently.
  • Experience with professional customer service or related service.

Compensation

  • Earn a pay rate of $19.00 per hour.
  • Campus residents: Move in early at no additional charge on Sunday, Sept 14.
  • Lunch provided during training days (2) and move-in days (3).

Work Environment & Schedule

Work Environment

  • Will be standing or walking around assigned area for 6-8 hours.
  • Ability to lift and move supplies up to 30 pounds.
  • Will work outdoors in rain or shine.
  • Must be able to perform tasks in work environment with or without accommodation.

Work Schedule

  • Work approximately 32-36 total hours including weekends.
  • Fulfill position requirements as described in this job description, position expectations and as assigned.
  • Anticipated employment dates: September 16-20, 2025.
  • The final schedule will be sent in September to selected candidates.
