Accounting Assistant

This position is available in WWU’s Office of University Residences. Successful candidates will be quick learners and have an aptitude for computation and analysis. The Student Accounting Assistant reports to the University Residences Fiscal Analyst and works an average of 10-15 hours per week. Starting wage commensurate with experience, but the position typically starts at Level 1 with opportunities for promotion based on the successful addition of more complex duties.

Position Responsibilities

Level 1: Print monthly system reports, maintain financial spreadsheets, update reconciliation spreadsheets, and provide minor analysis of reports. Import systems data into Excel and prepare worksheets. Organize and maintain stock of forms, order as needed. Manage the preparation and retrieval of archival documents. Maintain hard-copy files of completed work. Assist with audit preparation. Filing, organizing, completing errands and various clerical support function.

Level 2: Level 1 duties plus: Assist in the review, processing, and audit of residence hall purchasing card transactions. Perform moderate analysis of data from reports. Process charges/credits to students’ WWU account. Assist students with questions about their student account. Assist in the preparation of Conference/Guest Housing financial statements. Prepare receivable invoices.

Level 3: Level 1 and 2 duties plus: Analyze and assign proper coding of financial system entries. Calculate deferred revenue. Recommend updated procedures. Revise forms. Assist Fiscal Analyst with various accounting and analytical projects as needed. Prepare Conference/Guest Housing financial documents.

Level 4: Level 1, 2 and 3 duties plus: Complete and upload journal entries into WWU financial system. Assign coding and upload journal vouchers. Complete the analysis and balancing of the department’s income statements. Maintain department’s financial reporting application (in MS Access).

Qualifications

Required: Analytical and record-keeping skills with high aptitude for detailed tasks and the ability to quickly understand concepts involved in accounting. Ability to follow directions and work effectively with people. Must have a professional attitude and display good business ethics. Possess basic skills in Microsoft Office products.

Preferred: Bookkeeping and/or accounting experience. 2+ years of academic year availability.
