Terms and Conditions
Residence Hall Room and Board
Residence hall rates include room, board, and all utilities including cable. You should refer to your rate sheet and payment schedule for the amount due each quarter.
Charges for room and board will be assessed each quarter on the basis of the student's chosen room and board plan. Room and board payments shall be paid as scheduled in accordance with the residence hall rate sheet designated due dates.
Birnam Wood Apartments
Apartment rates include the apartment and all utilities including cable. You should refer to your rate sheet and payment schedule for the amount due each quarter. The apartment rental rate is charged per student's chosen room agreement.
How to make Payment
Tuition, fees and housing charges are due on the first day of class. Payment is late if all charges are not paid by 5 p.m. the 3rd Friday of each quarter. After the 3rd Friday of each quarter a monthly fee and a 1 percent interest charge will be assessed monthly to all past due accounts.
The payment deadlines to avoid late fees are:
- Fall: October 10, 2008
- Winter: January 23, 2009
- Spring: April 17, 2009
- Summer: July 10, 2009
Tuition due dates are posted on the Student Accounts website and the Registrar's Office website.
Short-term emergency loans: The Financial Aid Department can assist students with a short-term cash flow problem through a variety of emergency loan programs to cover a portion of their tuition and fees. For more information, contact Financial Aid, Old Main 265, 360-650-3470.
Each month you will receive an email billing notification via your WWU assigned internal email account. Due to the Family Educational Rights and Privacy Act (FERPA) of 1974, WWU requires the permission of the student prior to the release of any account information to another party (e.g. parents) besides the student. For instructions on how to fill out an Information Release form, how to setup an Authorized Payer, or how to VIEW/PRINT/PAY your account, please access Western's Homepage, and click on the "Pay Tuition and Fees" icon. (Please note: at one step in this process you will need to log on to Web4u, therefore, you will need your PIN number to complete the process.) You may also call the Student Accounts Office at 360-650-2865 if you have additional questions.
As of 9/1/2007 the University changed its credit card payment policy for payments made regarding Student Account charges.

Or you may pay online using the eCheck option available 24 hours per day. To use the eCheck option, please refer to Western's Homepage then click on the "Pay Tuition and Fees" icon.
You may also use the University Drop Box (available 24 hours per day outside the administrative entrance to Edens Hall).
Please note checks should NOT be mailed via Inter-campus mail.
Payments to your Student Account may no longer be accepted via fax or telephone.
Munch Money may be purchased online with a credit card (American Express, Discover, MasterCard, Visa and Carte Blanche), in person via cash or check only at the Dining Services Main Office, Edens 109 (Monday – Friday, 8 a.m. – 4 p.m.), or via mailed check.
You are responsible to pay your tuition by the designated due date whether or not you receive an email billing notification. You may access your account balance online 24 hours per day. Or you may call the Housing Cashier at 360-650-3744, Monday through Friday, 8 a.m. – 5 p.m., the University Cashier at 360-650-2930, Monday through Friday, 9 a.m. – 4 p.m., or Student Accounts Office at 360-650-2865, Monday through Friday, 9 a.m. – 4 p.m. Please note: Window hours for all offices are 9 a.m. – 4 p.m. (It will be necessary for the University to have an Information Release on file prior to providing account information to any other party besides the student, e.g. parents. Please refer to next paragraph regarding instructions on obtaining the Information Release Form.)
If you plan to mail your payment, and have not yet received your email billing notification, please refer to the amount due on your housing rate sheet, or access your account information by referring to Western's Homepage then clicking on the "Pay Tuition and Fees" icon, or call the Housing Cashier at 360-650-3744 to find out the amount which you owe (please be sure to have an Information Release on file for anyone other than yourself that may be calling with inquiries regarding your account balance). You may then enclose a check payable to WWU in the proper amount and mail it prior to the due date to:
Please write your student number on your check and enclose a note indicating it is payment for your student account balance. Please do not use campus mail for these payments, and do not send cash through the mail. Please allow mailing time for your payment to reach WWU by the due date. Payments mailed, yet not received at WWU by the designated due date will receive a late fee.
If you receive financial aid, please make sure your financial aid will apply to your account charges on or before the payment due dates. If you are not sure of the future date of when the funding will apply to your account please check with the Financial Aid Office at 360-650-3470. You may also check your account online to see if the financial aid payments have been posted by going to Western's Homepage and then click on the "Pay Tuition and Fees" icon.
